AI Receptionist Terms & Conditions

Last updated: September 11, 2026

1. Application

These AI Receptionist Terms & Conditions apply whenever you activate or use the AI Receptionist feature, in addition to (not instead of) our Terms of Service. If anything here conflicts with the Terms of Service on a matter specific to the AI Receptionist, this document takes priority for that matter; the Terms of Service govern everything else, including your account, general liability, and governing law.

2. Definitions

"AI Receptionist" means the automated call-answering, message-taking, and (where Booking Management is also enabled and connected) appointment-scheduling service described in these Terms. "Booking Management" means the separate, independently-enableable calendar feature the AI Receptionist can optionally use. "Output" means anything the AI Receptionist says, writes, transcribes, or records during or as a result of a call. "Caller" means anyone who calls a number the AI Receptionist answers.

3. Provision of the AI Receptionist Service

The AI Receptionist answers calls to a dedicated phone number assigned to your business, using artificial intelligence to converse with callers, take messages, and, where you've also enabled and connected Booking Management, check availability and create, cancel, or reschedule appointments. The underlying speech recognition, language, and voice technology is provided by third-party AI services (see Section 11), and call routing and the phone number itself by a third-party telephony provider.

We may modify the AI Receptionist's functionality, introduce, change, or remove features, or replace the underlying AI models or telephony provider it relies on, at any time. We may also impose reasonable usage limits beyond your selected plan's included calls.

Activating the AI Receptionist for the first time requires us to provision a dedicated phone number for your business, which can take up to 48 hours. You'll receive an email once your number is live and the service is ready to take calls; until then, no calls can be answered on your behalf.

4. Nature of the Service

The AI Receptionist is an automated software service, not a human being and not a substitute for one. It generates its responses from your own configured business information and, where connected, your Booking Management calendar -- it does not know anything about your business beyond what you've told it, and does not exercise judgement, discretion, or professional advice of any kind.

Without Booking Management connected, the AI Receptionist cannot check availability or make, change, or cancel bookings -- it can only answer from the business information you've provided and take messages. Whether Booking Management is connected is entirely your choice and can be changed at any time from your account settings.

5. Customer Responsibilities

You're responsible for the accuracy of everything you configure the AI Receptionist to say or rely on -- your business information, opening hours, services, and prices. The AI Receptionist states these facts to callers as you've given them; we're not responsible for a caller being given incorrect information you supplied incorrectly or failed to keep up to date.

You're responsible for having the right to use the phone number the AI Receptionist is assigned, for complying with any law or regulation that applies to automated call handling and recording in your jurisdiction, and for how your own staff act on messages, bookings, or other information the AI Receptionist passes to them.

6. Artificial Intelligence Outputs

Like any AI system, the AI Receptionist's Outputs may occasionally be inaccurate, incomplete, inconsistent, or otherwise mistaken -- including misunderstanding a caller, mis-booking an appointment, or mis-transcribing a message. We don't warrant that any Output is accurate, complete, or fit for any particular purpose. You're responsible for reviewing bookings and messages the AI Receptionist creates, and for correcting or following up on anything that looks wrong.

7. Artificial Intelligence Transparency

The AI Receptionist discloses to every caller, at the start of the call and in their own language, that they're speaking with an AI and whether the call is recorded -- the same automatic disclosure pattern used elsewhere in Kall It AI. This is a legal safeguard for the caller, not something you can configure or disable.

8. Call Summarisation and Data Processing

Depending on your account's retention settings, calls may be recorded and transcribed, and the AI Receptionist may summarise a call's outcome for your records. Messages callers leave are captured as audio and/or text and made available to you through your account. This processing is covered by our Privacy Policy, which forms part of these Terms.

9. Prohibited Uses

You must not use the AI Receptionist for any unlawful purpose; for emergency response, life-critical, or safety-critical communications of any kind; to route calls to premium-rate or international numbers beyond what your plan permits; to knowingly collect special category data (health, biometric, genetic, or similar sensitive data under UK GDPR), criminal offence data, or full card/payment details through the AI Receptionist; or in any way that would make the AI Receptionist a prohibited or High-Risk AI System under the EU AI Act or equivalent UK regulation.

If a caller volunteers sensitive information unprompted, the AI Receptionist is not configured to recognise, redact, or securely isolate it -- you're responsible for reviewing and handling any such data appropriately once it reaches you.

10. No Critical Reliance

The AI Receptionist must not be your sole means of receiving emergency communications, safeguarding concerns, legal notices, court communications, or regulatory notices. Callers with anything urgent or safety-related should always have another way to reach you or the emergency services directly.

11. Third Party Providers

The AI Receptionist's speech recognition, language understanding, and voice generation are provided by third-party AI services, and its phone number and call routing by a third-party telephony provider. We're not liable for outages, errors, or limitations that originate with these providers rather than with Kall It AI itself, though we'll work to restore service as quickly as reasonably possible.

12. Data Protection

As with the rest of Kall It AI, you (your business) are the data controller for calls the AI Receptionist handles on your behalf, and we act as your processor. You're responsible for having a proper legal basis for automated call handling and recording, and for any privacy notice or disclosure required under UK GDPR or PECR beyond the AI's own automatic disclosure (Section 7) -- for example, information on your own website or voicemail greeting about how calls to your number are handled.

13. Availability and Warranties

The AI Receptionist is provided on an "as available" basis, like the rest of Kall It AI. We don't guarantee uninterrupted or error-free operation, that every call will be answered, or that Booking Management (where connected) will always correctly reflect real-time availability. We don't warrant any particular business outcome from using the AI Receptionist.

14. Indemnity

You agree to indemnify us against claims arising from: business information you configured that was inaccurate, unlawful, or infringing; your use of the AI Receptionist in breach of these Terms or applicable law; and any failure by you to provide privacy notices or disclosures required of you as data controller.

15. Suspension and Discontinuation

We may suspend the AI Receptionist immediately if we reasonably believe you're in breach of these Terms, your account is past due (see Section 17), or continued provision could expose us, our providers, or another customer to legal, regulatory, or security risk. We'll aim to tell you why and how to resolve it wherever reasonably possible.

16. Liability

Our liability in connection with the AI Receptionist is subject to the same limitation set out in Section 11 of our Terms of Service-- these Terms don't create a separate or additional liability cap.

17. Fees and Billing

The AI Receptionist offers two ways to pay, chosen when you activate it. A monthly plan (Lite, Plus, or Ultra) includes a set number of calls per month for a fixed fee; Pay As You Go has no monthly fee and instead charges a flat rate per call, drawn from the same account credit translation usage already draws from.

Monthly plans:your saved payment method is charged for your selected plan (plus any add-ons, such as Appointment Scheduling) as soon as your dedicated number is ready, and again every month after that on the same date, until you cancel -- paid in advance for the period ahead. Your first billing period also includes a number of bonus calls on top of your plan's usual allowance, shown against each plan when you activate. Calls beyond your plan's monthly allowance are not charged individually as they happen -- they're totalled up and added, at your plan's overage rate, to your NEXT scheduled charge. A payment method must already be saved on your account before you can activate a monthly plan, since these charges happen automatically with no one present to confirm them each time.

Pay As You Go: each call is charged individually against your account credit as it happens, at the rate shown when you activate -- no monthly fee for calls. If your account credit is insufficient, top it up from your billing settings; top-ups for this plan have their own minimum, shown at the time, which may differ from the minimum top-up for translation usage. A payment method only needs to be saved in advance if you also select the Appointment Scheduling add-on (see below); with calls alone, nothing needs to be saved and no charge is made on activation.

Appointment Scheduling add-on:this is always a genuine recurring monthly charge, shown at activation, independent of which of the two options above you've chosen for calls -- including Pay As You Go. If selected, your saved payment method is charged for it on the same schedule as described above (as soon as your number is ready, then monthly), and a payment method must be saved in advance for it even on Pay As You Go, since this is a recurring charge with no one present to confirm it each time.

You can cancel online at any time from your account settings. Whenever there's an active billing period to honour (a monthly plan, or Pay As You Go with the Appointment Scheduling add-on), cancelling stops future charges but doesn't refund the current period -- access continues, including any included calls and the add-on, until the end of the period you've already paid for; if a charge fails, we'll retry automatically and may pause the AI Receptionist until payment succeeds or you update your payment method. Plain Pay As You Go with no add-on has no period to honour, since nothing is ever paid in advance for it -- cancelling takes effect immediately, and any account credit you've topped up remains yours to use elsewhere.

18. Changes to the AI Receptionist Agreement

We may update these Terms where reasonably necessary to reflect changes in technology, our providers' own requirements, legal or regulatory developments, or security needs. Material changes will be notified to account owners directly; continued use of the AI Receptionist after a change takes effect means you accept the updated Terms.
