Frequently asked questions

Everything you might want to know about the AI Receptionist before you sign up. Still unsure? Get in touch.

The service

What is the Kall It AI Receptionist, and who is it for?

An AI receptionist that answers your business's phone calls, takes the caller's details and what they need, and sends you the message by text or email the moment the call ends. It's for any business whose customers ring first and who can't always get to the phone: trades, solicitors, clinics and dentists, salons, estate agents, accountants and many more.

Do I have to change my phone number?

No. You get a dedicated UK number from us and keep your own. Most businesses divert their existing line to it when they can't answer (your phone provider calls this call divert or call forwarding), so callers never know the difference. You can also give the new number out directly.

How does it know what to ask?

You tell it. For each kind of call your business gets (a new enquiry, a quote, a complaint, an appointment request) you set what the receptionist should ask for: a name, a phone number, an email, an address, a few words about the job. A guided set-up assistant helps you write it, and you can change it at any time.

What does it know about my business?

Whatever you tell it: opening hours, prices, the services you offer and don't offer, how to find you, and anything else callers tend to ask. It answers from that, in the words you gave it, and takes a message for anything it can't answer.

Can it put a caller through to me or a colleague?

Yes. You list the people in your business and when they can be reached, and the receptionist can transfer a caller to them. If nobody answers, it takes a message instead, so the caller is never left hanging.

What happens to the message?

The moment a call ends, the caller's details and what they asked for are sent to you by text or email, whichever you prefer, or collected into one daily summary. Every call also appears in your call history with the full conversation and, if you've switched recordings on, the audio.

Does it tell callers it's an AI?

Always. At the start of every call it introduces itself by the name you gave it, says it is an AI receptionist, and says whether the call is being recorded. It never pretends to be a person, and if a caller asks, it says so plainly. This can't be switched off.

What languages does it speak?

English by default. If a caller doesn't speak English, it can carry on the conversation in the caller's own language for many languages, and the message still reaches you in English.

Can I hear it before my callers do?

Yes. Your set-up has a draft and a live version. You ring the draft from your browser, change anything you don't like, test again, and publish only when it sounds right. Every version you publish is kept, so you can roll back.

Does it book appointments?

Coming soon. Appointment booking straight into your business calendar is built and being readied for launch. Until then the receptionist takes the caller's preferred times as part of the message.

Plans and billing

How does billing work?

Monthly plans are billed in advance from the day your number is ready, then on the same date each month, with bonus calls in your first month. Calls beyond your plan's allowance are added to the next month's charge at the plan's per-call rate. Pay As You Go has no monthly fee and is paid per call from your account credit. All prices exclude VAT.

What counts as a call?

A call counts from the moment the receptionist answers it. Each plan includes a generous time allowance per call, shown on the plans page, with a small per-minute charge for calls that run longer than that.

Can I cancel?

Yes, online, at any time. A monthly plan runs to the end of the period you've paid for; Pay As You Go stops straight away. There's no contract and no notice period.

Do you store my card details?

No. Payments are handled by Stripe, which stores your card details; we never see or store your full card number.

Privacy and data

Who is responsible for what callers tell the receptionist?

Your business is the data controller for your calls, the same as if a member of staff had answered; Kall It AI processes them on your instructions. Our AI Receptionist Privacy Policy and Data Processing Agreement set this out in full, and both apply automatically to every account.

Are calls recorded?

Only if you switch recording on. Recordings and transcripts are two separate settings your admin controls. Whatever you keep is deleted automatically 30 days after the call. The message itself stays in your call history for as long as your account is active.

Where is my data processed?

Our own servers are in Germany and our database is in Ireland. Speech recognition and the AI that understands the caller run in European regions. Our AI Receptionist Privacy Policy lists every provider we use and where it processes data.

Is it suitable for emergencies or sensitive matters?

No. The receptionist must never be the only way to reach you for anything urgent or safety-related, and it is not designed to collect health, financial or other sensitive details. Callers with an emergency should always have another route to you or the emergency services.

Your account

What happens after I sign up?

You're taken to a "check your email" page and sent a confirmation link. Once you click it and log in, you'll be asked to register your company (name, industry, contact number) -- your account then sits pending until Kall It AI approves it, usually the same day.

I didn't get the confirmation email -- what do I do?

Check your spam or junk folder first. If it's genuinely not there, the check-email page has a "Resend the email" button once its short cooldown finishes. If you've already confirmed this email before, you won't get a new link either way -- just log in instead.

Can I confirm my email on a different device to the one I signed up on?

No -- for security, the confirmation link only completes on the same device and browser you signed up with, the same way Stripe's own confirmation emails work. Opening it elsewhere shows a message telling you to go back to the original device rather than silently failing.

How do I reset my password?

From the login page, choose "Forgot password?", enter your email, and follow the link that's emailed to you. That email also shows the device, approximate location, and time the reset was requested, so you can tell whether it was really you.

I got a password reset or two-step authentication email I didn't request -- what should I do?

Contact us straight away at support@kallit.ai. If you didn't request a password reset, you don't need to do anything else -- your password only changes if you actually complete the link. If two-step authentication was turned on or off without you doing it, that's a stronger signal your account may be compromised, so flag it urgently.

I think my account has been compromised -- what should I do?

Contact us straight away at support@kallit.ai. If you can still log in, change your password immediately and turn on two-step authentication if it isn't already active. If you can't log in, tell us as much as you can -- when you last had access, and anything unusual you noticed -- so we can help secure the account. If you're a staff member or department owner, your business admin can remove your access from Team settings while things are looked into, and re-invite you once it's resolved -- or, if two-step authentication was turned on by whoever compromised the account, force it off from the same screen without removing you first, which signs you out of every active session immediately. If you're a business admin yourself, no one inside your own business has authority over your account, so contact us directly and we can force-remove your two-step authentication and sign you out of every active session on your behalf.
